Websites for property managers: win new properties and spend less time on the phone

The website of a property management firm has two jobs: convincing owners' associations that are looking for a new manager, and easing day-to-day work with existing clients – damage reports, documents, availability. A website with a service overview, your management area and an enquiry form costs from €1,490 with me, or from €3,490 as a multi-page site. A protected area in which owners and tenants can access statements and minutes is a web application in its own right and usually costs €8,000–15,000. Here you can see which of these is worthwhile for which size of firm.

What do owners' associations look for on your website?

  • Which properties you manage: owners' associations under the German Condominium Act (WEG management), rental management, management of individual units (Sondereigentum) – and in which area.
  • How easy you are to reach: office hours, a fixed contact for each property, an emergency service outside office hours.
  • How you work: owners' meetings, annual statements, maintenance, digital documents.
  • What it costs: many associations expect at least a guide to the management fee or a quick quote.
  • A short enquiry form for a management quote: location, number of units, year of construction, desired start date.

How does online damage reporting save time on the phone?

A large share of the calls property managers receive are reports: a dripping tap, a broken doorbell, a light out in the stairwell. An online form that asks for the property, the flat, the type of damage, its urgency and photos turns a phone call into a complete report that your team can deal with directly or pass on to a tradesperson.

What matters is a clear line between this and an emergency: a burst pipe or a heating failure in winter does not belong in the form but with the emergency number – which is why that number is clearly visible above the form.

When is an owner and tenant portal worthwhile?

A portal is worthwhile if you regularly send out the same documents: annual statements, budgets, minutes of owners' meetings, house rules. In the portal, each owner logs in and sees only the documents for their own association and their own unit.

Many property management software packages already include a portal like this. In that case it is usually cheaper to use it and simply link to it properly from the website. A portal of your own is worthwhile if your software does not have one, several systems need to be brought together, or you want to map processes such as approvals and resolutions passed by written procedure. The guide customer portal development describes what to expect.

Which mandatory details apply to property managers?

Anyone who manages residential property usually needs a permit under § 34c of the Gewerbeordnung (the German Trade Regulation Act). The Impressum (the legal notice required in Germany) therefore usually includes, besides name, address and contact details, the authority that issued the permit and – depending on the legal form – the commercial register entry and the persons authorised to represent the company. Professional liability insurance, which managers have to prove anyway, is also a good trust signal on the homepage.

I build the Impressum and the privacy policy as separate pages that can be reached from every other page and enter your details. I am a web developer, not a lawyer – please have the legal texts checked by a law firm or your chamber.

What matters for data protection?

  • Statements and minutes contain personal data. Each person may only see the documents that concern them – this is checked by the server, not just by the user interface.
  • Photos from damage reports often show the inside of people's homes: they are stored securely and deleted once the job is done.
  • You conclude a data processing agreement with your hosting and email providers.
  • After completion you receive the full repository; code and content belong to you.

How does the website win new properties to manage?

Owners' associations rarely change their property manager – but when they do, they search specifically for ‘property management’ plus their town. A separate page for each management area with real details – which districts, which property sizes, who the contact person is – gets found for these searches and at the same time answers the questions that ChatGPT or Gemini would answer for someone searching.

How much a separate page per service and location can achieve is shown by the website of the cleaning company DARMEL: 51 landing pages for ten services in five towns; according to the client, search performance has doubled since the relaunch.

Are there references from property managers?

To be honest up front: I have not yet completed a client project in this sector that I can show here as a reference. What I can show are the building blocks – service pages, enquiry forms, protected areas and loading times – from my projects for DARMEL and YachtBrokerBid. I built a portal with roles, approvals and a complete history for the YachtBrokerBid platform – there with roles for owners, brokers and administrators.

For small property management firms in Bavaria, the Digitalbonus Bayern – a Bavarian state funding programme for digital projects in small businesses – may be an option for a portal that is deeply integrated into their processes. A plain website does not qualify. The key facts are in the guide to the Digitalbonus.

Usually not. In that case I link the existing portal properly from the website. A portal of your own is only worthwhile if your software does not offer one or if processes you need are missing.

Yes. The form asks for the property, the flat, the type of damage and its urgency, and accepts photos. For emergencies, it clearly refers people to your emergency number.
